Privacy Policy

Last updated: [CONFIRM: date this policy goes live]

Base by Design (“we”, “us”, “our”) is committed to protecting your privacy. This policy explains what personal data we collect when you use this website or get in touch with us, why we collect it, how we use it, and what rights you have over it, in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

What personal data we collect

We only collect personal data that you give us directly, through the enquiry, trade enquiry and quote forms on this site. Depending on which form you use, this may include:

  • Your name
  • Your email address and/or phone number
  • Your town or postcode
  • Company name (trade enquiries only)
  • Details about your project — room type, approximate size, finish you have in mind, and anything else you choose to tell us

We do not ask for or knowingly collect any financial, health, or other special category data through this site, and we do not run any e-commerce or payment functionality here.

How we use your data

We use the information you submit to:

  • Respond to your enquiry and provide a quote
  • Arrange a site survey, where relevant
  • Keep a record of the conversation so we can follow up accurately
  • Where you’ve contacted us as a trade partner, to assess and respond to your enquiry

The legal basis for this processing is our legitimate interest in responding to enquiries you have made to us, and, where a project proceeds, to take steps towards entering into a contract with you.

We do not use your data for automated decision-making or profiling, and we do not sell or rent your personal data to any third party.

How your enquiry is handled technically

Enquiry and quote forms on this site are built using Gravity Forms, a form plugin that processes your submission and emails it to us. [CONFIRM: whether submitted entries are also retained inside the website’s own database/admin area, or only forwarded by email and then deleted from the form system — this depends on final site configuration.]

This site loads fonts from Google Fonts (fonts.googleapis.com / fonts.gstatic.com). Loading a font from Google’s servers means your device makes a request to Google, which may process your IP address as part of delivering that font. [CONFIRM: if self-hosting fonts is preferred instead, to avoid this external request entirely — flagged separately as a technical recommendation.]

[CONFIRM: whether any analytics tool (e.g. Google Analytics), advertising pixel, or live chat tool is in use or planned — none is currently installed on this site, so no such tracking is described here. This section must be updated before any such tool is added.]

How long we keep your data

[CONFIRM: retention period for enquiry data — e.g. how long completed-project correspondence, and unsuccessful/uncontacted enquiries, are kept before deletion.] Until confirmed, we keep enquiry data for no longer than is necessary to respond to you and, where a project goes ahead, for the duration of that project and a reasonable period afterwards for warranty and record-keeping purposes.

Who we share your data with

We do not share your personal data with third parties for their own marketing purposes. Your data may be processed by service providers who help us run this website and handle enquiries on our behalf (for example, our form, email and hosting providers), under their own data processing obligations to us.

Cookies

This site does not currently use analytics or advertising cookies. WordPress, the software this site runs on, and the Gravity Forms plugin may set small technical/session cookies needed for the site and forms to function correctly (for example, to protect form submissions from spam). These are not used to track you across other websites.

Your rights

Under UK GDPR, you have the right to:

  • Ask us what personal data we hold about you, and request a copy of it
  • Ask us to correct inaccurate data
  • Ask us to delete your data, where there is no legal reason for us to keep it
  • Object to or restrict how we use your data
  • Withdraw consent at any time, where we are relying on consent

To exercise any of these rights, contact us at [email protected]. If you’re not satisfied with how we’ve handled your data, you have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk.

Changes to this policy

We may update this policy from time to time, for example as the site or our processes change. The date at the top of this page shows when it was last updated.
